Summary:

Upper Great Lakes Family Health is seeking an Executive Support Specialist (ESS) to provide comprehensive administrative assistance to multiple leadership executives and Board of Directors, ensuring smooth operations and efficient management of organizational governance and executive operations.

Primary responsibilities and duties:

  • Maintains HRSA compliance system monthly, including updating and coordinating external systems to ensure continuous improvement and compliance.
  • Maintains corporate bylaws and other corporate documents.
  • Ensures organizational contracts and policies are up to date.
  • Creates written correspondence, workflow documents, dashboards, spreadsheets, operational tools, and reports.
  • Processes Board of Directors applications, coordinates Board orientation and board training materials.
  • Provides administrative support to the CEO, CFO, COO, and the Board of Directors:
    • Maintains executive schedules, coordinates meetings, prepares agendas, and records meeting minutes.
    • Make travel arrangements and completes conference/training registrations.
  • Oversee incoming and outgoing mail, including processing and depositing incoming checks in accordance with company banking procedures.
  • Performs other assigned job duties and special projects as assigned.

Job Qualifications:

The Executive Support Specialist must be well organized, thorough, have strong attention to detail, work well independently as well as within a team environment, possess strong MS office skills, be proactive in handling assigned tasks and projects consistently and to conclusion. Prior experience working in an administrative assistant, secretary or executive assistant role preferred.
