The Project Assistant assists the Project Superintendent and Project Manager with facilitating a coordinating their responsibilities.

YOUR DAY-TO-DAY: (Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the job)­

  • Handle telephone calls from Clients and Vendors. Communicate messages effectively.
  • Type correspondence, purchase orders, owner change orders, reports, etc.
  • Process and distribute all incoming & outgoing mail activities, including sending UPS and FedEx.
  • Make copies of correspondence or other printed matter.
  • Order appropriate office supplies as needed.
  • Process paperwork for hiring and firing.
  • Assist in maintaining OSHA, MSHA, MSDS logs and files
  • Assist with processing invoices and purchase orders
  • Assist jobsite personnel
  • Maintain and coordinate team members calendar
  • Schedule / plan / coordinate business meetings, team member calendars for repetitive items (Pay Applications due, OAC meetings, Safety lunches, etc.), projects, travel and reservations, appointments
  • Monitor jobsite radio and provide assistance to field personnel.
  • Assist in preparation of project closeout documents
  • Assist in maintaining Purchase Order Logs, Owner Purchase Order Logs, Material Logs, Submittals Status Logs, RFI Log, Change Order Log and Proposed Change Order Logs, Subcontracts, PO’s, CO’s, Insurance and Bonds
  • Create Expense Reports
  • Maintain project filing system and scanning filing up to date.
  • Maintain and balance checkbook for petty cash account.
  • Maintain first aid cabinet to make sure it is always properly stocked.
  • Process all timecards for job site, making sure they are properly coded & to Payroll Administration timely.
  • Assist with Drug Testing New Hires
  • Assist with processing pay applications and field purchase orders.
  • Participate in R&M learning and development opportunities
  • Assist subcontractors and vendors with Textura process and keep required Textura documents up to date.
  • Strive to develop current and new skills

WHAT YOU BRING TO THE TEAM: (Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the job)

  • Six months previous experience as a Robins and Morton Jobsite Secretary
  • Associates Degree in business is preferred.  High School diploma (or equivalent) is required. 
  • Minimum of five (5) years’ experience in an administrative assistant or secretarial role required.  Previous administrative experience with a construction, architect, or engineering firm preferred.
  • Ability to speak and read English required.  Ability to also speak and read Spanish preferred.  Ability to comprehend documents such as safety rules, operating manuals and Policy & Procedure manuals required.  Ability to properly write routine reports and correspondence required.
  • Ability to type 60 words per minute. 
  • Excellent computer skills required.  Proficiency in Microsoft Word, Outlook and Excel programs is required.  Proficiency in Microsoft Access and PowerPoint preferred.
