Position Summary:

Summary: Responsible for receiving visitors and patients to the clinic and for appointment scheduling and managing phone calls. This position serves as the front desk of the medical clinic. Primary functions of this position include but are not limited to: receiving and recording patient information over the telephone or in person as patients enter the building, ensuring patient information received is accurate and up to date, collecting payments and assisting patients with billing and insurance needs, answering and route incoming calls, and answer patient questions and mitigate any patient concerns and/or complaints. 

Salary Range: $15-$18 based on experience.

Qualifications & Job Responsibilities

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Greets patients/visitors, determines their needs and responds accordingly.
  • Records and updates patients statistical data.
  • Answers phone calls in a courteous and confidential manner. Schedules appointments or transfers calls as appropriate in a courteous and professional manner.
  • Provides initial contact for patients to CCHC/SHC by registering patients, scheduling appointments and setting up patient medical records.
  • Explains how healthcare at CCHC/SHC is delivered as well as how we strive to function as a team and what the PCMH concept is.
  • Reviews with the patient and family member the brochure that gives basic information about our practice such as our after-hours policy and extended access hours.
  • Completes card with primary care provider (PCP) information.
  • Assists with completion of enrollment forms.
  • Assists in test tracking and specialist referral processes.
  • Interviews patient or representative to obtain and record name, address, ae, persons to notify in case of emergency, PCP and individual or insurance company responsible for payment of bill.
  • Explains billing and collection policies such as schedule of charges and payment of accounts.
  • Explains HIPPA information.
  • Explains the way our providers and team members may be contacted.
  • Assists with the check in and check out processes.
  • Assists with the transfer of health care information.
  • For sliding fee discount patients they will obtain income verification, enter financial information into patient record and send for scanning.
  • Enrolls patients into group visits or chronic care programs
  • Greet all exiting patients.
  • Collects fees, writes receipts and completes superbill/encounter form.
  • Prepares daily cash reconciliation and daily bank deposits.
  • Assures confidentiality of records and patient information.
  • Organizes and manages office. Maintains a clean and professional environment.
  • Participates in quality assurance activities.
  • Opens and closes office daily. Makes sure that health center is patient-ready for the next day at end of the day.
  • Inventories office supplies monthly and gives supply requests to appropriate personnel.
  • Attends and participates in morning team huddle to facilitate patient care.
  • Participates in staff meetings and facility committees.
  • Attends relevant educational programs.

Qualifications

Education and/or Experience

  • Six months to one year related experience and/or training; or equivalent combination of education and experience.

Language Skills

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before individuals and small groups of patients and employees.
  • Ability to speak Spanish.

 Mathematical Skills

  • Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals.
  • Ability to compute rate, ratio and percent and also drawn and interpret bar graphs.

 Reasoning Ability

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
