The Bair Foundation is looking for a CONTRACT MANAGER / EXECUTIVE ASSISTANT in New Wilmington, PA!

ESSENTIAL FUNCTIONS:

  • Types and organizes correspondences/documents for use by the supervisor.
  • Files correspondences/documents to provide supervisor with accurate, orderly and up-to-date filing system.
  • Transcribes hand-written notes for use by the supervisor or for filing.
  • Screen incoming calls and to direct them appropriately or to give information to the callers.
  • Relieve supervisor of the administrative details associated with various projects and activities.
  • Maintain schedules for supervisor.
  • Arrange travel schedules and hotel arrangements for leadership, Board members, and visiting guests.
  • Coordinate meetings that may include Board members.  
  • Track Board member or visiting guests expenses for Accounting.
  • Prepare information for Board meetings; gathering reports and compiling Board packets.
  • Maintain Board minutes.
  • Monitor background checks for supervisor and Board members to ensure compliance with licensing.
  • Track effective dates of all contracts and dates of Medicaid MCO credentialing.
  • Distribute contracts for review and approvals from appropriate staff.  
  • Gather documentation to attach to contracts.  Prepare contracts for appropriate signatures.  
  • Ensure all contract deadlines are met.  
  • Prepare information and documents for digital archiving.
  • Work with Accounting to resolve billing issues related to contracting (i.e.:  rate negotiation, credentialing for new Medicaid MCOs, status of contracts).
  • Handle corporate registrations, memberships, and the federal government's system for award management (SAM).
  • Files annual reports in operating states in a timely manner to ensure all states remain in good standing.
  • Assist with the completion of RFPs, RFIs and grant applications by providing needed information and corporate documents.
  • Manage scholarship and car grant program, work to publicize programs and increase applicants.
  • Provide and organize phone coverage relief for National office receptionist.
  • Assist with the planning and preparation of events held at the National office.
Job Qualifications:
  • Bachelor's degree in appropriate field with experience in executive level administrative support work.
  • Contract monitoring experience preferred.
  • At least 2 years of experience in an executive or administrative assistant role.
  • Comfortable meeting deadlines and handling confidential information.
  • Must be proficient in Microsoft Office.
  • Proven track record of managing multiple tasks with high attention to detail.
