Job Cost Administrator- Part Time

Key  Responsibilities

  • Collaborate with the Project Manager to ensure necessary project accounting support in achieving project objectives
  • Preparation, consolidation and analysis of accurate and timely cost reports, reconciliations and cost forecasts relative to budgets and schedules
  • Fundamental skills in job set-up, maintenance, and closeout
  • Report on margins by product and division, analyzing estimated vs. actuals
  • Ensuring the accuracy of all job cost information, report on periodic variances and their causes, focusing in particular on spending variances
  • Furnish internal reports, revise and update reports to be more useful and efficient, and furnish external reports as necessary
  • Process requisitions from all departments and complete vendor setup packages
  • Issue and process purchasing orders, enter purchase order receipts, coding of A/P bills
  • Support the P-Card reconciliation process
  • Take phone calls/emails from vendors regarding invoices and/or payment. Follow up with vendors
  • Procurement planning by assisting operations in selecting vendors, negotiating payment terms and prices
  • Collects, analyzes and uploads timesheets, and provides to Payroll Administrator for inputting, from unionized workforce in electronic format
  • Along with the Payroll Administrator and HR Coordinator, ensure payroll compliance with the collective agreements. Working Statutory holidays may be required, but will be provided with a day in lieu for statutory day worked
  • Accurate and timely collection, entry and verification of timesheets
  • Liaise and maintain professional external communication with clients, auditor, etc.
  • Where appropriate, liaise with intra-company departments and external consultants in performance of administrative and business services support tasks
  • Ensure the confidentiality and privacy of financial records as they relate to the organization and its customers
  • Other duties as required


  • Strong interpersonal, communication and customer service skills
  • Knowledge of accounting and financial theories, practices, tax, and applicable legislation
  • Strong computer skills are required with proven proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Strong General Ledger coding skills
  • Ability to multi-task, prioritize tasks and quickly adjust in a rapidly changing environment
  • Effective and proven organizational skills to meet multiple deadlines and handle multiple tasks in a high pressure and demanding work environment
  • Ability to enter and update data in accounting records accurately. Highly detailed oriented
  • Ability to work independently as well as in a team environment
  • Demonstrate ability to perform maturely and professionally ensuring complete confidentiality of sensitive and confidential information
  • Demonstrate the ability to think critically, act logically to evaluate situations, solve problems, and make decision
  • Meet professional obligations through efficient work habits as, meetings deadlines, honoring schedules, coordinating resources and meetings in an effective and timely manner, and demonstrate respect to other


  • A degree or diploma in Commerce, Business Administration, or equivalent discipline
  • 3+ years of accounting/finance experience
